Appointment Module v2: Physio Planner
The Physio Planner lets patients book an appointment themselves, through a public booking page, instead of you creating every appointment by hand. It's an optional module, on top of the regular Calendar.
TIP
This module is only available if it's been enabled for your account. If it is, you'll see a Planner configuration item in the main menu, next to Calendar.
Configuring the Planner
Open Planner configuration to set up how patients can book:
TIP
This configuration screen currently only shows text in Dutch, regardless of your account's language setting. The field names below are given exactly as they appear on screen, followed by their meaning in English.
- Gebruik meerdere afspraaktypes (use multiple appointment types): leave this off to offer one fixed appointment duration (Duur afspraak, in minutes). Turn it on to offer several appointment types instead, each with its own description and duration — add one with Optie toevoegen, remove one with the trash icon.
- Zet me in CC bij mails naar patiënt (CC me on emails to the patient): when checked, you receive a copy of every booking-related email Sophia sends to the patient.
- Your online availability: if your account also has the working schedule feature enabled for the planner, you'll see a Gebruik weekschema checkbox — turn it on to reuse your Working Schedule (with its full periods and exceptions) instead of setting hours here. Leave it off, or if you don't see the checkbox at all, and set fixed hours per weekday directly on this page instead: tick Beschikbaar for each day you accept bookings, then fill in the start and end time (Start dag / Einde dag, in hours and minutes).
At the bottom of the page, Voorbeeld shows a live preview of the public booking page your patients will see.
Handling Bookings
A patient's online booking doesn't appear directly on your Calendar. It first lands on the Unconfirmed Appointments tab, where you confirm or cancel it — unless you've turned on automatic confirmation (see General Settings).
